Item Details

Order Management maintains detailed records of each item that you enter into the system. The Item details page contains all the relevant information regarding an item organized by section. From this page, you can manage the following item information. Each is described in the table below:

To access the Item details page, follow these steps:

  1. In Order Management Administration: click Inventory > Inventory Manager.
  2. Browse or search for items.
  3. Select an item by clicking its ID. The Item details page opens.

See the following topics for details steps when creating and editing items:

The following table describes the components, fields, and buttons.

Components Description
Approve button If shown, approves when an item is created. An item appears as available for sale only after it has been approved. This is a one-step optional processes that is either enabled or disabled in Settings > Preferences > Inventory > Workflow. See Inventory - Workflow. If the setting isn't enabled, this approval step is skipped.
Clone button If shown, clones this item to create an additional item. This can be done when a new item is very similar to an existing item. See Creating Items by Cloning Existing Items. The new item created is an exact copy of the item in view, except that the item code has a leading "*" character. The item code might be edited. Cloning a master item also automatically clones all of the child items of that master item. Item cloning might also be done in the RAMP client. Cloning an item also copies over the item's images, attributes, categories, catalogs, special pricing and associations. Inventory isn't copied.
Auction button If shown, opens the Item Auction Information page so you can create an eBay auction. This button appears once an item is approved. See Auction Manager and eBay connector.
Remove Item button Removes the item record from live Inventory. You are prompted to confirm this operation. Removing an item does not delete the item record. Removing an item causes it to be unavailable for sale.
Delete button If shown, permanently deletes the item record. You are prompted to confirm this operation. An item must be unapproved before deleting the item record. See Searching for Items for details on resetting item's approval status. Deleting an item record is a permanent, irreversible action. If the item should be preserved, make the item inactive . See Suspending and Unsuspending Items.
Template button Selects a custom template for your emails.

Advance Workflow icon () Advances the item record to the next workflow state.

Flag icon ( ) A flag color for the order that might need further review at a future time. Shows a color or “CHK” from the list.

Edit link Refreshes the page with additional fields and buttons:

General Information section Consists of informational checkboxes that can be included to identify the item including:
  • Featured
  • New Stock
  • Back InStock
  • Backordered
  • Discontinued
  • EAN (European Article Numbers/International Article Numbers)
  • UPC (Universal Product Codes)
  • Sell
  • Alloc
  • Visible
  • Show Description
Note: The Visible checkbox on an item record (which is the same as Hide Items from the bulk view of multiple items) toggles front-end display (such as website including search) whereas removing an item is similar to a delete function. If the Show Description checkbox is selected, this causes the item description to be visible in read-only mode.
Edit button () icon Opens a form that lets you edit the fields that are presented when first creating an item. After editing them, click Update to return to the Item details page or click Cancel to discard the changes.
Localization section Lets you localize the item information. Select the localization code (language) from the drop-down list and click Add. The new locale appears. If you click the Locale link, the Edit Localized General Information page appears where you can localize the item information.
Catalogs section Assigns or unassigns a single item to one or more catalogs. Categorizing an item should be done at the endmost leaf node of Order Management's category structure. An item is automatically added to all parent categories of the subcategory. The first category listed on an item is considered the primary category for external connectors such as eBay. See Assigning Items to Catalogs.
Inventory section Updates the inventory of items and manages the status of the items that make up your inventory on a daily or on-demand basis. See Managing Inventory of Individual Items in the Administration Module.
Note: On Hand inventory for an item at a particular site can be either a positive or negative value. For example, the OH inventory for a Solid Silk Tie could be -2. However, the Available To Sell (ATS) calculation treats a negative On Hand value as 0. Also considered are any of the sale suppression options that could allow/restrict selling an item, selling an item at a particular site, or selling any items at a particular site.
Price Points section Modifies the cost, sales, or MSRP prices for the items so you can create multiple mutually exclusive price tiers based on quantity purchased.
Categories section Adds the item to one or more categories. See Creating Categories.
Attributes section Creates an item attribute and attaches it to the item or item serialized object type.
Vendor section Assigns an item to a vendor. Dropship items must be assigned to a Vendor so that it can be sourced when ordered. Non-dropship items can also be assigned vendors for restocking purposes.
Associations section Associates user-defined relationships between items. Group and kit associations define the component physical items included in group and kit items, respectively. Other associations can be used by developers in customized business rules and functions. Types of associations include:
  • Up Sell
  • Down Sell Cross-Sell Uses
  • Used By Related To Group Includes
  • Member of Group Kit Includes
  • Member of Kit
When an association is applied to an item, the reciprocal association is automatically applied to the associated item. For example, if you add an Up Sell association with item B to item A, item B automatically shows a Down Sell association with item A.
Details section Reviews or changes information that was initiated by Order Management automatically based on workflow events or through user interaction. The Details section provides useful information.
  • Activities: Enables the creation of activities on the customer record.
  • Emails: Enables the creation of emails on the customer record.
  • System Events: Shows system events on the customer record. For example, when the item inventory level changes, a system event is generated and shows the old inventory level, new/delta inventory level, the type of inventory, such as onHand, and the fulfillment site code.
