Shipping order detail

Order Management maintains detailed records of each shipping order in Order Management. The Shipping Order detail page contains all the relevant information regarding a shipping order organized by section. From this page, you can manage the following shipping order information. Each is described in the table below:

The following table describes the components, fields, and buttons.

Fields and Buttons Description
Clear Alerts button Displays when the system generates alert messages or warnings when an order record needs to be addressed in order to advance through the workflow. When you have resolved the issues indicated by the system alerts, you can clear them.
Assign, Pick/Pack, Fulfill, File status buttons The awaiting status is indicated by darker shading. For example, Fulfill indicates that this order is waiting approval to fulfill (if this is to be done manually).
Print button Prints the sales order.
Void button Void the sales order and keep a record of the voided sales order.
Delete button Deletes the shipping order.
Template button Selects a custom template for your sales order emails.
Advance Workflow icon () Advance the item record to the next workflow state.
Suspend/Unsuspend icon ( or ) Suspends (makes the Item unavailable for sales and prevents the item from participating in automated fulfillment processes.) or unsuspends the item record.
Lock icon ( or ) Locks (prevents editing) or unlocks the item record.
Flag icon ( ) A flag color for the order that might need further review at a future time. Select to show a color or “CHK” from the list.
Currency The currency used when the order was placed. See Multiple Currencies .
Site This fulfillment site of the order.
Assigned The user assigned to the shipping order.
General Information section - Edit () button Consists of the general information about the sales Order that can be edited including Order Date, Request Date, Reference ID, Promise Date, Terms, Fulfill Date, Locale, Cancel Date, No Back orders checkbox (if customer accepts a back order). When edits are complete, click Save to save the changes or Cancel to discard the changes.
Billing Information section - Edit () button View or edit billing information, which is populated from the customer record.
Shipping Information section - Edit () button View or edit the shipping Information. An order might have any number of shipping addresses but only the first shipping address is listed in this section. If items are to be shipped to different addresses, the shipping order shows the appropriate shipping address. If different shipping methods are selected for each item, only the first method is listed in this section. The shipping order shows the appropriate shipping method for each item.
Note: The address format is based on the country selected from the Country drop-down list.
Extended Attributes section - Attribute drop-down, Add button, Add All button List the attributes that have been applied to the order and the values set for each. Attributes can be added by selecting it from the drop down list and clicking Add or click Add All. The drop-down list is populated with the attributes configured for sales orders in the Attribute Manager. Attributes configured in the Objects Manager appear on the record to match the specifications outlined in the object's configuration. Clicking the attribute name link opens a window to define a value for the attribute. Attributes associated to sales orders, shipping orders, and invoices will propagate from the sales order to the shipping orders and Invoices.
Edit All button You can edit the attribute name, such as the catalog code or the customer IP address. Click Update to accept or Cancel to discard changes.
Show Hidden Attributes checkbox If checked, shows the hidden attributes (shaded in grey background).
Trash can icon () Deletes the attribute from the Extended Attributes section.
Special Instructions section - Edit () button Opens the Special Instructions field where you can add/edit any special instructions.
Items section - Edit () button Lists the status of the Items purchased. You might consider editing the items in the shipping order if the customer called to split the order. This would then create Shipping Groups. See Edit Order Shipping Address.

Ensure Funds button Attempts to capture funds regardless of previous authorization. You can enable or disable to automatically capture the ensure funds in Order Preferences. See Order Preferences for all shipping order settings regarding ensuring funds.
Details section Review or change information that was automatically initiated by Order Management based on workflow events or through user interaction. The Details section provides useful information about the following:
  • Linked Orders: Shows the related objects such as orders, shipping orders, and purchase orders associated with a sales order, as well as the object type such as an exchange or reship order. A sales order with an (r) indicates that one or more items in the order were returned. Orders with an asterisk (*) refer to orders that are linked to the same customer but not the current order being viewed (indirectly related orders).
  • Payments: Shows all payments associated with the sales order. Clicking Add adds a new payment to the order using default payment information stored in the payment information section of the sales order. The new payment can be edited if needed.
  • Shipments: Shows shipments associated with the order. When you click the link for a shipment, the Shipment detail page appears with the General Info, Tracking Numbers and Details sections.
    Note: An information icon appears with the shipment tracking number when a shipping label has been purged.
    The Details section consists of Activity, Emails, and System Events tabs. Note that emails are linked to orders and shipping orders so that when you click the date link for an email, the email details appear.
  • Invoices: Shows all invoices and credit memos associated with the sales order.
  • Sites: This tab appears only when a retail store is the fulfillment site. If you select the Site tab, the status appears. If the order was rejected, the rejection reason appears when you hover over the no action icon (). (Reason codes are defined in customizable User-Defined Pick Lists.)
  • Activity: Enables the creation of activities on the sales order. Use the Add button to add an activity.
  • Emails: Shows all emails associated with the order. Click on the email link to view the email detail. Click Resend to resend an email. Click New to create a new email. System-generated emails also appear in the System Events tab.
    Note: Specify the number of days to retain email body text in the system preferences. See Retention Preferences. The Resend link for an expired email is visible but disabled. If you hover over the disabled Resend link, the message "email body no longer available" appears. Note that for emails, it's only the body (content) of the email that is deleted. Other information, such as create date, flags, subject, remains in the system.
  • System Events: Shows system events on the order, including workflow steps, system-generated emails, tagged objects, and the user who performed each action. As with emails, you can specify a retention policy for system events (by time or by number of events) in the system preferences.
